Job Description:
Position Overview: We are seeking a meticulous and organized Document Controller to join our dynamic team in the construction industry. The successful candidate will be responsible for managing all documentation and ensuring the efficient organization, storage, and accessibility of project-related documents. This role is critical in maintaining the smooth flow of information and ensuring compliance with company and industry standards.

Key Responsibilities:

  • Document Management:
    – Establish and maintain an effective document control system.
    – Organize, track, and manage all incoming and outgoing project documentation.
    – Ensure documents are properly filed, archived, and easily retrievable.
  •  Compliance and Standards:
    – Ensure all documentation complies with legal and regulatory requirements.
    – Maintain up-to-date knowledge of industry standards and regulations.
  •  Coordination and Communication:
    – Liaise with project teams, subcontractors, and clients to ensure timely delivery and receipt of documents.
    – Facilitate communication between different departments regarding document status and requirements.
  • Document Control System Management:
    – Use document management software to manage and track documents.
    – Regularly update document control procedures to reflect current practices and improvements.
  •  Quality Control:
    – Conduct regular audits of documents to ensure accuracy and completeness.
    – Review and verify documentation for consistency and compliance.
  •  Training and Support:
    – Provide training to staff on document control processes and systems.
    – Assist team members with document control issues and queries.

 

  • Qualifications and Skills:
    • Education:
    – Bachelor’s degree in Business Administration, Management, or related field.
    – Additional certification in Document Management or a related discipline is a plus.
    • Experience:
    – Minimum of 3-5 years of experience in document control, preferably in the construction industry.
    – Experience working in the UAE or GCC region is advantageous.
    • Technical Skills:
    – Proficiency in document management software (e.g., Aconex, Procore, etc.).
    – Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint).
    • Key Competencies:
    – Excellent organizational and multitasking skills.
    – Strong attention to detail and accuracy.
    – Effective communication and interpersonal skills.
    -Ability to work independently and as part of a team.
    – Strong problem-solving skills and ability to handle pressure.

Working Conditions:

  • Based in Dubai, UAE.
  •  Standard working hours with occasional extended hours as required by project demands.
  •  Office-based with some site visits as needed.
